Approval of Minutes of meeting of 16th July 2020: Proposed by HM. Seconded by GC
 
Matters Arising:
Deposit for hirers. GC will investigate good practice and bring back a proposal. We may just require it for specific hires where there is a risk of damage e.g. for parties.
Batteries. They are very expensive and we need to keep our financial reserves in case of reduced income. No immediate need because of few evening hires. Do not purchase at this time.
Lighting at rear of hall. This needs chasing up.
 
 
Business Plan. This needs to be reviewed at the November meeting, in the light of Covid-19 restrictions at that time. The batteries will be taken off the plan for the time being. The costings for outdoor and indoor leisure facilities will be researched with reference to Ben Davenport’s survey, and brought to the November meeting for discussion. GC highlighted that the plan and budget can be flexible and are intended to provide guidance. LL pointed out that the Business Plan is a tool for wider community engagement next summer.
Marketing: The website would benefit from a makeover and LL and MD will “meet” with Charles Gatenby to discuss our options.
Kitchen: Quotations for new work surfaces have been requested and the cost of various options will be circulated when they are available.
The development of outdoor facilities will be added to the plan, and the updated version circulated to all Trustees.

Feedback from the Young People’s Survey: Ben Davenport was welcomed to the meeting to discuss the outcomes of his survey of younger residents. A summary had been circulated before the meeting, so BD answered questions from Trustees. Most respondents were aged 6-14. 40% didn’t currently use the hall but would if there was something happening that was of interest. Most popular were things that could be done outside without necessarily having an adult present e.g. football/basketball so that they could just go along with friends after school etc. Other interests included table tennis, pool and football tables for indoors, art/ craft group, youth club, disco
Cinema was a popular choice although issues like licencing, choice of film, cost of hire etc will need to be considered. It may be possible to have different films for different potential audiences. The possible conflict between having a fixed projector and other hall use (e.g. badminton) was raised.
C Williams asked for clarification of whether the proposed changes would be for the young people of Henton, or of Wookey Parish more widely. There was a discussion about Henton / Yarbleton / Wookey Parish.
Reaching out to 7-18 year olds raised the question of other unrepresented groups like under-7s and young parents. C Wray asked about outdoor play equipment for young children. The possibility of a pre-school and carer group (post-Covid) was also discussed. MD mentioned a WhatsApp group of young mothers that has been started and C Wray will contact them to find out how the hall might meet their needs. GC said that he would look at the way that such groups might be helped re hire fees. LL reminded trustees of the Tesco Bags of Help scheme that could help with funding for equipment.
Feeling amongst trustees was that we should cater more for the under-represented groups in the community so we could start with a phased approach of introducing some of the more easily implemented options, and see what the take-up is like.

A.O.B. TH asked about the involvement of the local council with Henton Village Hall. This is mostly through the Parish Council as Custodian Trustee (rep: Colin Williams). We use ACRE guidance and are at arm’s length from the local authority. TH’s computer link failed and the rest of the query will be dealt with via email.
